WRITTEN COMMUNICATION
This is a type of information dissemination which involves the use of detailed reports in writing or simple memo. Letters, e-mails, text messages etc. are all forms of written communication. The most effective and common way through which written communication is used at the is the notice board.Notice board should be strategically positioned and regularly updated for the information to be effectively communicated. Other avenues through which information can be relayed by this means are company policies and procedures, mission statements, employee handbook, company code of practice, minute of safety meetings etc.
Merits of Written communication are as follows:
- Information is general and every member of the workforce, visitors and customers all have access to it.
- Recipient can go back anytime to familiarize themselves to the information in question
- Recipient are not under duress to assimilate the instruction once
- Management commitment and authority always backs this type of communication as it must be signed by management or authorizing personnel.
- Communicator present in writing
- Inability to read and understand the information which is commonly due to literacy level of recipient
- Ambiguity o words through the use of grammar that is not easily understood
- Lack of interest and attention
- Bad presentation which may be due to small lettering which are not bold and clear enough can easily discourage recipient from reading.
